1. Who we are

2. Scope
This policy covers personal information we process as a controller, including:
- Visitors to haulia.ai and our marketing properties.
- Prospective customers who contact sales or book a demo.
- Authorized users (your employees and contractors) who log into the Service.
When we process freight, carrier, or customer data you upload to the Service, we do so as a processor on your behalf. Those activities are governed by the DPA and your contract with us.
3. Information we collect
Account information. Name, work email, employer, role, and authentication credentials.
Usage information. Pages viewed, features used, clickstream, device and browser metadata, IP address, approximate location, and timestamps.
Communications. Support tickets, emails, and sales calls you have with us.
Integrations data. Content and metadata from systems you connect (TMS, email, phone, ELD, EDI). We process this data on your behalf under the DPA.
Cookies and similar technologies. See Section 9.
4. How we use information
- Provide, maintain, and secure the Service.
- Authenticate users and prevent fraud or abuse.
- Respond to support and sales inquiries.
- Improve and develop new features, including aggregated and de-identified analytics.
- Send service-related notices and, with your consent, marketing communications.
- Comply with legal obligations and enforce our agreements.
We do not sell your personal information. We do not use customer freight data (rates, lanes, contacts) to train foundation models.
5. Legal bases (EEA / UK)
If you are in the EEA or UK, we rely on the following legal bases under the GDPR:
- Contract — to provide the Service you or your employer has signed up for.
- Legitimate interests — to secure, improve, and market the Service in a proportionate way.
- Consent — for optional cookies and marketing where required by law.
- Legal obligation — to meet tax, accounting, and regulatory requirements.
7. International transfers
Haulia is based in the United States and operates infrastructure in the US and EU. When we transfer personal information out of the EEA, UK, or Switzerland, we rely on the European Commission's Standard Contractual Clauses (and the UK Addendum where applicable), supplemented by the technical and organizational measures described in our Security page.
8. Retention
We keep personal information for as long as necessary to provide the Service, comply with our legal obligations, resolve disputes, and enforce our agreements. Customer data processed on your behalf is retained according to the terms of your contract and then deleted within 30 days of request or termination.
10. Your rights
Depending on where you live, you may have the right to:
- Access, correct, or delete your personal information.
- Object to or restrict certain processing.
- Receive a portable copy of your data.
- Withdraw consent where processing is based on consent.
- Lodge a complaint with a supervisory authority.
To exercise any of these rights, email privacy@haulia.ai. We will respond within the time required by applicable law, and in any event no later than 45 days.
11. Children
The Service is intended for business users and is not directed to children under 16. We do not knowingly collect personal information from children.
12. Security
We apply administrative, technical, and physical safeguards to protect personal information. Details are on our Security page. No system is perfectly secure; if you believe your account has been compromised, contact security@haulia.ai.
13. Changes to this policy
We may update this policy from time to time. We will post the updated version here and, for material changes, notify you via email or in-product notice.
